At Arctic Pulse, we strive to offer a fair and transparent booking experience for all our guests. Our cancellation policy is designed to provide flexibility while ensuring the smooth operation of our tours and services.
Booking Modifications and Cancellations
- Cancellations: Cancellations must be made according to the cancellation policy listed below. Refunds will be provided based on the timing of the cancellation as per the agreed-upon terms below.
- Changes: Any changes to the reservation (dates, number of guests, etc.) are subject to availability and approval from the host. Additional charges may apply.
Cancellations and Refunds
Cancellation Policy
Guests can cancel their booking according to the cancellation policy set by the host based upon when the cancellation is requested. (Flexible, Moderate, Strict). Refunds are subject to the timing of the cancellation as detailed below;.
Flexible - Guests may receive a full refund if they cancel within 48 hours of making the reservation.
Moderate-Partial Refunds: Guests may cancel their bookings up to 60 days prior to the scheduled start time to receive a 50% refund. This applies to all tours and services unless otherwise specified.
Strict Non-Refundable Cancellations: Cancellations made less than 48 hours before the scheduled start time will not be eligible for a refund.
Force Majeure
The host is not responsible for cancellations or delays due to force majeure events (e.g., natural disasters, pandemics, etc.). In such cases, the host will work with guests to provide an alternative solution, but no compensation will be provided for these events.
How to Cancel
To cancel your booking, please contact us as soon as possible via the contact information provided in your confirmation email. Refunds will be processed through the original payment method within 5–10 business days.

We recommend reviewing your travel plans carefully to avoid unexpected cancellations.
Arctic Pulse reserves the right to modify or cancel any special tours due to unforeseen circumstances, such as severe weather or operational issues. In such cases, guests will be offered a rescheduling option or a full refund.

Booking and Reservation
Eligibility
Guests must be at least 18 years of age to make a booking. By making a reservation, you confirm that you meet this age requirement.
Reservation Confirmation
A reservation is only considered confirmed once the host has received full payment and sent a confirmation email. The booking will not be valid until this confirmation is received.
Property Use
Occupancy
The number of guests may not exceed the maximum occupancy stated in the booking details. Unauthorized guests may result in additional fees or cancellation of the booking without refund.
Use of the Property
Guests agree to use the Property for residential and lawful purposes only. No illegal activities, parties, or commercial use of the Property are allowed.
Smoking and Pets
- Smoking: Smoking is prohibited inside the Property. If smoking occurs inside, a cleaning fee will be charged.
- Pets: Pets are only allowed if explicitly stated in the booking details. If pets are not allowed, bringing pets onto the Property may result in a fee or eviction.
Guest Responsibilities
Respect for Neighbors
Guests must respect the quiet enjoyment of other residents or tenants in the vicinity of the Property. Noise levels must be kept to a minimum, especially between [Insert quiet hours, e.g., 10:00 PM and 7:00 AM].
Damage or Loss
Guests are responsible for any damage, loss, or destruction of Property, furniture, or appliances caused during their stay. The host reserves the right to charge the guest for the repair or replacement costs.
Safety and Security
Guests agree to lock all doors and windows when leaving the Property and to take all reasonable precautions to ensure personal safety and the security of the Property. The host is not responsible for any personal injury or loss.
Cleanliness
Guests are expected to leave the Property in a reasonably clean condition. A cleaning fee may be charged if the Property is left excessively dirty.
Check-In/Check-Out
Check-In/Check-Out Times

Late check-out may incur additional charges.
Key/Access Code

Rates and Fees
The total rental price will include the Property rate, cleaning fees, security deposit (if applicable), taxes, and any additional services or charges as agreed upon at the time of booking.
Security Deposit
A security deposit of is required. This deposit will be refunded within 7 days after check-out, provided no damage or excessive cleaning is required. The host may use the deposit to cover damages, missing items, or other costs incurred during the stay.
Payment Methods
Payment will be processed via card and must be made in full before the booking is confirmed.
Limitations of Liability
The host is not liable for any personal injury, death, damage to personal property, or loss incurred by guests during their stay.
Insurance
It is recommended that guests purchase travel insurance to cover potential risks such as trip cancellations, medical emergencies, or lost belongings.
Privacy and Data Protection
Guest Information
Guests’ personal information (name, contact details, payment info) will be handled in accordance with the host’s privacy policy and applicable laws. The host will not share guest information with third parties without consent, except as required for booking purposes.
Surveillance
The Property may have security cameras in common areas for safety purposes. No surveillance equipment will be present in private areas such as bedrooms and bathrooms.
Modifications
The host reserves the right to modify these Terms and Conditions at any time. Any changes will be communicated to guests, and the revised Terms will apply to bookings made after the modification.
